This guide explains how to connect a Zoom account to Schedito, use Zoom for online bookings, troubleshoot connection issues, and remove the integration. The integration works through the Schedito backoffice; you do not need to install a separate Zoom desktop plugin or embed Zoom in your website.
1. What the Zoom integration does
Schedito is an online booking and scheduling platform operated by Jivalabs d.o.o. Once an authorized user connects Zoom, Schedito can create and manage Zoom meetings linked to bookings, keep meeting details associated with those bookings, and include joining information in supported customer notifications and calendar invitations.
Zoom online-meeting integration is available on Schedito Free, Basic and Pro plans. External calendar synchronization is a separate Pro-only feature and is not required for Zoom meeting generation.
2. Before you begin
Have an active Schedito account and access to the workspace you want to configure.
Have a Zoom account that you are authorized to connect. Zoom account capabilities and meeting limits are governed by your Zoom plan.
Configure at least one booking calendar and service in Schedito. Make sure its availability and booking settings are suitable for your business.
Allow the browser to open Zoom's authorization page and return to Schedito over HTTPS.
3. Connect Zoom to Schedito
Sign in to the Schedito backoffice.
Open External Services and locate the Zoom connection option.
Choose the action to connect Zoom. You will be redirected to Zoom to sign in, if necessary, and review the permissions requested by Schedito.
Approve access only if you recognize the Schedito application and wish to connect that Zoom account.
After authorization, return to Schedito and confirm that the Zoom connection appears in External Services.
Schedito requests permission to identify the connected Zoom user and to create, view, update and delete that user's meetings. These permissions are used for the booking-related meeting lifecycle. Schedito does not request access to Zoom recordings, transcripts, audio or video.
Important: Connect the Zoom account that should host the meetings. If a workspace has more than one resource or multiple providers, review the relevant meeting-provider settings before publishing the booking widget.
4. Enable online meetings for a service
In the Schedito backoffice, open the relevant calendar and service configuration.
Review the online-meeting settings and select the supported meeting provider or automatic provider selection, as appropriate for your workspace.
Save the configuration and make a test booking using the same workflow that customers will use.
Confirm the booking when required by your workflow, then inspect the booking's meeting details and the customer notification.
Meeting generation follows the booking lifecycle and workspace configuration; a booking that is pending or awaiting customer action may not yet have a meeting link. Do not assume a meeting exists until Schedito displays or sends its joining information.
5. What happens after a booking
Confirmation: For a booking configured to use Zoom, Schedito creates or reuses the associated Zoom meeting and stores the meeting reference and joining URL.
Customer information: The joining link can be included in Schedito booking notifications and calendar invitations, according to the configured notification flow.
Changes: Schedito manages meeting updates and reconciliation as part of its booking workflow. Review the booking details after changing the booking time or meeting configuration.
Cancellation: When a booking is cancelled through a supported workflow, Schedito processes the associated meeting cancellation and booking cancellation notifications.
Changing the preferred meeting provider does not automatically replace a meeting already created for an existing booking. Existing meeting records may remain associated with their original provider.
6. Disconnect or remove Zoom
Sign in to Schedito and open External Services.
Find the connected Zoom account and use the available disconnect or remove action. Confirm the action if prompted.
To revoke Schedito's access directly from Zoom, sign in to your Zoom account, open its app-management or installed-apps controls, locate Schedito, and remove or deauthorize the application. Zoom's labels may vary by account and interface version.
Return to Schedito and confirm the connection state. If the connection still appears active, contact support with your workspace name and the affected provider.
Once Zoom authorization is removed or revoked, Schedito cannot create or modify Zoom meetings through that authorization until you reconnect. Disconnecting Zoom does not mean that previously issued meeting links, already-created Zoom meetings, bookings, customer notifications or invitations are automatically deleted or cancelled. Review upcoming bookings and, if necessary, manage meetings directly in Zoom or reconnect the account before making further changes.
Removing an authorization is separate from requesting deletion of Schedito's stored booking or integration data. Schedito may retain meeting IDs, joining URLs, synchronization metadata, booking history and operational records where needed for service operation and applicable retention obligations. For a request to review or erase eligible data, contact support@schedito.com. See the Privacy Policy.
7. Troubleshooting
Zoom authorization does not complete
Confirm that you are signing in to the intended Zoom account, approve the requested permissions, and retry from Schedito's External Services page. If you receive an error after being redirected, capture the error text (but not authorization codes or tokens) for support.
No Zoom link appears for a booking
Check that the service is configured for online meetings, a usable Zoom connection is selected, and the booking has reached the state in which the meeting should be created. Check the booking details and notification settings. If the issue persists, contact support with a booking reference and approximate time.
Zoom access was revoked or expired
Reconnect the intended Zoom account from Schedito's External Services area and verify the connection status. Future meeting operations may be unavailable until reconnection succeeds.
A link still exists after disconnection
Previously created bookings and Zoom meetings may persist independently of OAuth authorization. Verify the meeting in Zoom and the booking in Schedito rather than assuming removal of access cancelled either one.
8. Data and security
Schedito uses Zoom OAuth to obtain authorization from the account holder. Authorization credentials are held in encrypted backend credential storage. Schedito stores the account and meeting references, join URLs, synchronization state and relevant provider metadata needed to support bookings and reconciliation. Customer booking details are processed under the Schedito service and the workspace operator's responsibilities.
Do not send passwords, OAuth Client Secrets, access tokens, refresh tokens or authorization codes to support. Zoom processes Zoom account and meeting information under its own terms and privacy practices. For further details about how Schedito handles personal data and retention requests, read our Privacy Policy and Terms & Conditions.
